Updating Activities in P6

Dear Planners,

In P3, if i want to copy the actual dates from an updated programme to a newly copied baseline programme of same project is by simply copy all the activiites from the updated programme and paste in a baseline programme and choose update activities with matching Id's.Then all the actual dates will be assigned automatically in the copied Baseline programme. I want to know is it possible to do like this in P6 or is there any new way to bring the actual dates from an updated programme to baseline programme for same project.

Here is the easiest way to do what you want to happen.

Add the Baseline Project to your current Project using the Maintain Baseline. On the same window click the update then chose the data you want to apply from Current Project to Baseline Project.

Hi Gokulakrishnan,

 

This is the second time of writing this message.  PP timed out on me and crashed!

 

I now understand what you want to do.  You need to revise your current baseline to reflect only a few changes.  I will warn however those before following my instructions below, you only do so with consent of your client and stakeholders.  If you change the baseline without having gone through due process and change control, you are at risk of breeching your contractual agreement with your client.  

 

If you have gone through formal change control and everyone is on board you need to take the following steps.

 

  1. With your current project open, go to <Project> <Maintain Baselines> and select the <Restore> option on the right hand side of the action box.  
  2. Now, your baseline copy will be restored to the EPS.
  3. Open the baseline copy and make the appropriate date changes.
  4. Close the project.  You may need to update progress if you have progress to show.  This can get a little messy later on. 
  5. Check that the planned start and finish dates align with the current start and finish dates.  If not, invoke a global change to reset them. 
  6. Open the original project, select <Project> <Maintain Baselines> <Add> and select ‘convert another project to a new baseline of the current project’.  Select the baseline project you have just changed.
  7. If you have many changes to make, you may want to automate the process.  Open your original project and export to Excel. 
  8. Now, open the baseline copy and export that to excel.  Now you can copy and paste the dates from the original to the baseline copy.
  9. Next with the baseline project open, select import from Excel.  Choose the ‘update existing’ option as this will over write the dates in the baseline project with the changes you have made in Excel.  
  10. Check that the planned start and finish dates align with the current start and finish dates.  If not, invoke a global change to reset them. 
  11. Close the baseline plan.
  12. Open the current plan, <Project> <Maintain Baselines> <Add> and select ‘convert another project to a new baseline of the current project’.  Select the baseline project you have just changed.
  13. Check that the planned start and finish dates align with the current start and finish dates.  If not, invoke a global change to reset them. 

 

The planned start and finish dates may change if you have resources and or costs assigned to the activities.

I don't want to create a new baseline with the updated programme. I just want to import the Actual dates from the updated programme to the copied baseline programme. Because in the updated programme some links have been modified to reduce the negative float. But i want to know the actual status of the project from the baseline programme. For this purpose i need only the actual dates from the updated programme. I have tried the export and import options. If you want to do the samething in P3 just copy all the activities from the updated programme and paste it in the baseline programme. An option will appear to complete the task. In that option we have to select "Update activities with matching ID's". Then simply schedule it. All the acual dates from the updated programme will come to the baseline programme. (Dont forget to hava a copy of baseline programme in a seperate file). I want to know is there any option like this in P6 for actual dates only except Import & Export).
