Planning

Management Responsibility

  • Interface pro-actively with all other disciplines.
  • Continual audit of project network trends
  • Produce plans to address project slippages, adverse trends or to cater for changing project scope/objectives
  • Play a lead role on projects where shutdown, tie-ins etc. take place in ensuring that planning in sufficient detail is prepared, monitor the interfaces and ensure that project commitments are achieved
  • Manage KPA's of planning resources on large projects
  • Report on the outcome of all the above activities to the Project Manager and propose action plans to correct any adverse trends
  • Motivate members of the project team to meet or beat schedule targets

Administrative Responsibilities

  • Continuous analysis of project activities and project 'S'-curves against plan using Earned Value methodology.
  • Arising from above, circulate alert reports, effects and recommendations to the Project Manager
  • Produce and issue monthly planning report (project report) to Project Manager and Functional Manager
  • Maintenance of project planning records for filing and archiving

Technical Responsibility

  • Provide input into project strategy from planning and progress measurement aspect
  • Compile and issue front end schedule utilising input from all disciplines
  • Establish and issue key dates
  • Prepare project network
  • Verify network logic against project strategy utilising input from all disciplines
  • Establish critical path, freeze project schedule and issue as baseline document
  • Integration of sub-contractor and vendor programmes into project network
  • Verification, preparation and issuing of discipline schedules
  • Establish time standards and control measurements for all disciplines in liaison with cost engineering.
  • Set up control ā€˜Sā€™-curves
  • Ensure that commissioning considerations are established and catered for in the project schedule during baseline development

Key Performance Areas

  • Prepare, verify and have approved by the Project Manager project network and key date schedule
  • Verify, prepare and issue discipline, sub-contractor and vendor schedules
  • Issue all necessary reports identifying potential problems

 

Procurement

Mangement Responsibility

  • Supporting Project Procurement Manager on purchasing matters
  • Assisting in the preparation of approved supplier lists
  • Preparing and issuing purchase order packages
  • Ensuring suppliers acceptance of orders is received
  • Ensuring payment is made to suppliers

Administrative Responsibility

  • Receiving and opening tenders
  • Issuing letters of regret
  • Assisting Project Procurement Manager with the preparation of the Procurement Monthly Reports

Technical Responsibility

  • Assisting Project Procurement Manager with preparation of purchasing standards, documentation and procedures
  • Carrying out purchasing objectives and philosophies
  • Assisting with preparation and issuing of purchasing operating plan
  • Preparing and issuing enquiry packages and responding to queries
  • Analysing and adjudicating tenders commercially.
  • Arranging and participating in negotiations with suppliers
  • Preparing final recommendations for award
  • Handling purchase order queries and preparing and issuing amendments as necessary
