  • Regular liaison with construction superintendents and supervisors to obtain firm definitions of construction work packages and resources as reporting and scheduling inputs.
  • Daily liaison with construction superintendents and supervisors on work completion, materials consumption and look-aheads to maintain accurate and up-to-date reporting data.
  • Generate daily and weekly work plans for construction teams to align work packages against manpower, equipment and materials resources.
  • Assist construction superintendants with scheduling of deliveries of equipment and materials to site.
  • Resource planning using Primavera 6 (8.1).
  • Report resources status and any actual or projected shortfalls to project managers.
  • Provide a schedule analysis of the work packages.
  • Monitor milestones and potential schedule clashes.

 Position             Project Support Coordinator (Costing)

  • Within any particular business program, eg. Construction, work with all the involved project managers to reconcile all the separate budget requirements for the program duration eg  4 years.
  • Allocate the funds from bulk funding to multiple project budgets – typical bulk funding up to $150 million
  • Generate project specific and overview reports  to analyse actual expenditure against planned for all the individual budgets and the bulk funds, identify and develop correction strategies for any variances (using Primavera P6 or Financial Management Reporting System)
  • Continual monitoring of project financial situation through project duration (ensure that funding is sufficient to avoid delays or other problems with contracts)
  • Assist project managers in engagement of sub-contractors to ensure that that correct procurement procedures are followed, that correct documentation is used, that all approvals are in place and that all activities comply with rules of governance.
  • Support project managers in preparation of purchase order support documentation, track expenditure against purchase order, check and verify invoices and payments.
  • On monthly basis run ’Validation Report’ from financial system ( Projman) to be sure that all projects have been forecast and validated, assist project managers with gathering correct documents to support  an accrual amount if needed.
  • Preparation of Monthly Position Statements for the Business Programs for Manager review.

  • Identify, analyse and provide creative solutions to problems and liaise and communicate effectively with district management, engineers, technical officer and all support staff as required.

  •  Preparation of financial approval documentation for submission
  • Assistance to departmental office in the processing of financial approvals documentation, including cost variation explanations
  • Data integrity activities in the RIPA suite of databases to ensure accuracy, consistency and compliance   
  • Creation of new projects in Projman and in RIP Live
  • Closing Projects in Projman and SAP, including contracts

  • Financial transactions reconciliation and costing using various department packages including SAP R/3 for financial transaction reconciliation.
  • Financial reporting to enable accurate project tracking and to indicate the overall financial position of various projects.
  • Preparation of financial documentation (for example, Journals & Goods Receipts, internal and external invoices
  • Requisition and monitoring of the supply of Goods and Services to ensure workflows are uninterrupted (justify if necessary)

  • Provision of support, advice and expertise on costing and other financial matters to project team members.

  •  Determine project WBS structure, activities, dependencies, milestones, produce the preliminary project schedule that then are verified and approved by the Project Managers.
  • Review, analyse and advise on schedules data, update the project progress, monitor time changes and reporting to Project Managers on task slippages, critical path, issues and risks.
